Members can pre-submit upcoming work to Member Services
Fall is setting in and that means deadlines for the Member Services department. We know that it is a busy season for members as well who will be submitting weaning dates and calf weights, downloading sale catalog data extracts, transferring sale animals, and of course, turning in data for the processing of the NCE.
With that said, we are still working through the database migration which has improved but still leaves the National Office with a backlog of work to complete. To help improve the flow of work into the office with the goal of preventing an excessive backlog of jobs to process, we have launched a “Reserved Seating” process – taking the cue from the restaurant industry, keeping the patrons happy and having an open table available when desired.
We are currently working seven to eight weeks out on the date-received order for processing members’ work. This is an improvement from this time last year, but we are striving to do better. To get a jumpstart on processing data during this busy season, reservations are now being taken for data that will be submitted this fall.
For example, if you have calves on the ground now and are waiting for those calves to be weaned in the next four to six weeks, you can submit the pre-registrations with a request for a reservation. We will place your data in a job and then assign a reservation job number to you.
Once the calves are weaned, return to the pre-registration file previously submitted and update the weaning data. Re-send that document to the RAAA attaching the assigned reservation number in the e-mail subject line. The new data will be placed in your reserved job and it will be processed in date-received order from the date of your initial reservation, not when your weaning information was submitted, thus “speeding up the clock.”
We will also offer this service for other data including sale transfers. Under this scenario, a complete list of animals being sold should be submitted (pending buyers). Once again, when the list has been received, a reservation job number will be assigned, and once your sale has occurred, please update the information with the buyer information and return to the RAAA with the reservation number in the subject line for final processing. The request for a reservation on transfers does not “stop the clock” on days from the date of sale to the submission of data. If the list of completed buyers is not received into the RAAA within 60 days of the sale date, you will still be subject to any applicable late fees.
All requests for reservations must be made in writing and can be submitted to the office via email, the mail or fax. No reservations will be taken by phone.
